Estate Manager – Stockholm

An experienced property manager is required for an entrepreneur based in Stockholm, Sweden. The ideal candidate will have proven knowledge and experience in property management and staff infrastructure. Start date - Flexible for the ideal candidate.

The client owns several properties within Sweden including one that is currently in-build on a private island just outside of the city of Stockholm. A project manager is in place to oversee all building works, however, a candidate with previous experience in overseeing renovations would be helpful.

The main house is located by the water, 10 minutes from Stockholm centre and requires a Property/Estate Manager to build a strong team of private household staff. An existing Housekeeper is in place who will require additional training and guidance. An Assistant Property Manager is also in place and can liaise with external contractors and suppliers in Swedish as and when necessary.
The infrastructure of the setup will be in the hands of the Estate Manager where the running of the residence, including all staff training and management, will fall under your remit.

The principals would like to run their portfolio of properties in a boutique hotel or superyacht style, with attention to detail, well-trained staff and smoothly run schedules in place.
In addition to the properties in Sweden, the principals also spend time in Switzerland and St Tropez. There may be occasions where you will be required to travel ahead to set up for guest arrival and ensure things are prepared appropriately.

This is a semi-formal residence with an emphasis on quality of service and a happy, appreciated team.

Extensive property management experience is required of all applicants. Those with 5* hotel or yacht training and management experience would also be of particular interest to this client.

Accommodation: A 2-bedroom apartment is provided. This is located within a 5-minute walk of the main residence. Should alternative accommodation be preferred, this can be arranged.

Hours: Typically Monday-Friday 08.30-17.30 with some flexibility required.

Client portfolio: 1 primary residence in Stockholm. 500sqm, 3 levels (incl basement). 1 additional residence (being built) 1000sqm in Stockholm on a private island, incl a small farm.

1 boathouse on an island far out in an archipelago outside of Stockholm. 1 townhouse on the west coast of Sweden and 1 small/simple boathouse on the island. 1 townhouse in St Tropez, 1 penthouse chalet apartment in Verbier, Switzerland. 10 smaller boats and jet skis etc. Several cars.

Pets/animals in the home/property: 1 small 2kg toy poodle. Farm with sheep, goats, chickens, geese.

Overall staff info: 2 Housekeepers, 1 in Stockholm, 1 in Verbier (external cleaners come in), 2 people currently take care of farm (feeding, fixing), 2 staff to be hired to take care of new 1000sqm house to be built, 1 main gardener, 1 assistant estate manager. House in France outsourced to local property management company.

Start date: Flexible

Contract: Permanent, 5 days a week with flexibility to work weekends and evenings when required. Some travel, if needed.

Salary: Highly Competitive and fully negotiable for the ideal candidate.

Responsibilities

  • Staff Recruitment & Training – Arranging specific training courses where appropriate
  • Staff rotas and managing payroll queries
  • Acting client representative
  • Opening and closing properties as required
  • Managing a highly-trained team to ensure the smooth running of the residence at all times
  • Liaising with the principal’s project manager regarding building and renovations of various properties
  • Retaining a positive, content and appreciated team of staff
  • Creating a household manual including training and setup processes
  • Maintaining inventories of household contents including artwork, antiques, garments, valuables, general household equipment and devices and updating insurance policies as appropriate
  • Managing and overseeing external contractors

Job requirements extended:

  • Administration: Bookkeeping+ excel skills: budgets, reports, payroll, spreadsheets for paying bills, filing invoices, expenses etc.
  • Able to develop a strong database/black book of subcontractors and coordinate with. (continue to develop existing PSL (preferred suppliers list.)
  • Resources: Creating Household Manuals. Create and manage a household inventory of valuables, antiques, art, updating insurance policies as required.
  • Managing & quality/function assuring all properties, cars, boats, staff of ca 5+ in Sweden, Switzerland, France to the highest standards.

Key requirements

  • 10+ years of property management, luxury hotel, superyacht or HNW/UHNW client representative experience
  • Non-disclosure agreement (NDA) to be signed ahead of client interview
  • Languages – Fluent English required, both spoken and written. All members of the household, staff and regular contractors speak fluent English. Knowledge of Swedish is a bonus but not an essential requirement.
  • Clear DBS background check
  • Verifiable supporting written references
  • Attention to detail paramount
  • Staff training experience essential
  • Team player essential
  • Approachable, warm yet semi-formal manner to both the principals, their children and staff
  • Must be immaculately presented at all times and lead staff by example
  • Supporting the principal’s assistant as required
  • EU passport or existing visa is preferred however, the role is open to all applicants with visa support available if required
  • Experienced as an Estate Manager or within a client representative role with HNW or UHNW families
  • Professional demeanour, trustworthy, responsible, super organised, problem-solving, discreet, service-minded.
  • Can work independently and structure the organisation for the highest standards possible. Excited by the task and will be given the freedom to create the best possible outcome and work environment. Never settle for ”good enough”, always working towards continuous improvement.
  • A person with a sense of priorities and high sense of standards, quality-work. Good with people but can and will create an efficient, organised and high-quality organisation.
  • Experience working in the luxury hotel industry is also considered.
  • Experience with farms, animals, country estate, or parks is a plus.
  • Boat experience/license a plus – not essential
  • Driver’s license
  • This is an active role requiring a fit, healthy and energetic candidate
