The Role:
While working collaboratively with the wider PA team for the extensive family needs, you will also take sole responsibility for managing the Mayfair-based office. This includes overseeing financial processes, acting as a key liaison with internal and external stakeholders and VIP guests, and supporting senior members of the office, including the CIO. This role is best suited to someone who thrives in a dynamic, high-profile environment and who excels at building trusted relationships while keeping operations running seamlessly.
Responsibilities
Key Responsibilities:
- Office & Operational Management
- Oversee the day-to-day operations of the family office, ensuring all internal processes and workflows run efficiently
- Executive assistant support to senior members of the office including the CIO
- Manage relationships with contractors and service providers
- Act as primary liaison with building management and IT support
- Financial & Administrative Support
- Track and reconcile expenses, including travel, office operations, and lifestyle support
- Manage petty cash, invoice approvals, and liaise with accountants for smooth financial reporting
- Maintain accurate administrative records and ensure timely follow-through on all tasks
- Stakeholder & Business Liaison
- Work closely with key stakeholders across the family’s two principal business interests, supporting communication, scheduling, and coordination
- Act as a reliable interface between the family office and business teams
- Complex Travel & Logistics Coordination
- Coordinate a dynamic and high-frequency global travel schedule for the principal, family, and wider team.
- Manage commercial and private flight bookings, ground transport, and itinerary planning.
- Ensure passports, visas, and travel documentation are valid, up to date, and compliant with destination requirements
- Accommodation & Sporting Calendar Support
- Manage global accommodation logistics in line with the family’s international sporting calendar and travel commitments
- Coordinate bookings for the wider team, liaising with trusted providers
- Maintain a centralised events and travel calendar, anticipating requirements and deadlines in advance
- VIP Relations & Event Coordination
- Act as point of contact for VIP guests in the lead-up to private and business events
- Coordinate guest requirements, preferences, and schedules to ensure a premium and personalised experience
- Oversee the hosting of meetings ensuring all aspects of hospitality meet the highest standards
- Lifestyle Management & Personal Assistance
- Provide day-to-day personal support to the principal and family, including running errands, booking appointments, and overseeing household needs
- Maintain absolute discretion and a service-first approach across all interactions
- Anticipate and respond flexibly to the family’s evolving personal and professional requirements
